If your professional services firm cannot clearly say who can access client files, that is not an admin issue. It is a business risk. It often starts with something routine...

A staff member leaves, their account is disabled, and everyone assumes access has been dealt with.

But client information may still be sitting in shared folders, Teams channels, email threads or Microsoft 365 locations that have not been properly reviewed.

Most of the time, nothing obvious happens. Work keeps moving, clients are served, and the risk stays invisible.

Then someone asks a simple question: who can still see this file?

That is when access becomes a leadership issue. For firms built on confidential advice and client trust, it is not enough to assume information is protected. You need to know who has access, why they have it, and whether that access is still appropriate.

The problem is better found in a review than during a client question, insurer request or security incident.
