Here’s the glamorous secret to better stock planning:

Make sure the numbers are actually right 😄

One of our clients didn’t need some massive system rebuild or a fancy AI prediction model.

The real win came from fixing the basics in Odoo:

→ barcode receiving made incoming stock cleaner and faster
→ stock adjustments became more disciplined
→ inventory movements started reflecting what was actually happening on the floor

And suddenly, replenishment became a lot less “I think we’re running low” and a lot more “yep, the system knows.”

That’s a pretty big deal.

Because once you trust your stock figures, purchasing gets easier, shortages become easier to spot, and the whole team spends less time double-checking spreadsheets, shelves and each other.

Sometimes the breakthrough isn’t dramatic.

Sometimes it’s just finally being able to trust the numbers.

We had one of those very AI moments again.

You give it a decent chunk of text and say:

“Just give me a quick two-line summary.”

And AI goes:

“Absolutely.”

Then gives you six paragraphs, three sections, a conclusion, key takeaways and probably a life lesson somewhere at the end.

Mate… we asked for two lines 😅

We actually run into things like this quite a lot at K3-Team because we use AI in real workflows, not just for playing around in ChatGPT.

And the more we work with it, the more obvious one thing becomes: the AI model itself isn’t the magic bit.

You still need to explain what you actually want, give it the right context and, sometimes, very clearly tell it:

NO. SERIOUSLY. TWO. LINES.

When that part is done properly, AI can be brilliant.

It usually starts with confidence, a few scanners and a very optimistic spreadsheet.

A few hours later, someone is recounting the same shelf for the third time, the numbers still do not match, and pizza boxes have officially joined the inventory.

Stocktake will never be the most exciting part of retail, but it should not become an overnight team-building exercise either.

With Odoo, stock movements are recorded as they happen, inventory stays much easier to track, and there is far less detective work at the end.

Sometimes the best place to start is with one small thing that removes a daily headache.

For retail businesses, there are plenty of automations that can deliver value quickly:

→ Low-stock alerts before something runs out
→ Automatic follow-ups on tasks and requests
→ Tasks sent straight to the right person
→ Simple reporting reminders for managers
→ Notifications when something needs attention

None of these require you to rebuild the whole business overnight.

Start with the repetitive things your team checks, chases or forgets every day. Automate those first. Then build from there.
