Makers of FIVE by StatsLog - Construction contract administration software. FIVE is the latest version of a product that was originally developed in 1984.

StatsLog Software Corporation has been providing software solutions for construction contract administration for over 25 years, with a focus on the ongoing monitoring and documenting of the progress of work, and initiating and tracking changes to that work. As the primary product of StatsLog, it allows a user to prepare, distribute and record progress, changes and approvals to any construction project. FIVE provides this support to a contract administrator for the owner, builder, designer or a consultant. It can provide this support using standard or custom forms and reports. The features of FIVE give full flexibility to administer any contract for any role, including collaborative undertakings.

Statslog forms go beyond CCDC 24—not only the first page of a Supplemental Instruction, Proposed Change, Change Directive, Change Order, and Certificate for Payment—but also offer:
-text continuation page(s)
-image page(s)
-attachment page(s) as needed

Along with new forms for:
-Shop Drawing Transmittals
-Field Reviews
-Minutes of Meetings
-Deficiency List
-Letterhead with a cover page for each.
Each form has a matching Log for data entry, which will auto-populate the Form being presented. Other Logs will present their data sorted by the 5Ws: WHAT, WHERE, WHY, WHEN, and WHO, collected.

Forms (called “templates”, when on screen) and Report (called a “log” when onscreen) are presented in a sample project, along with an easy to install logo, company name and address lines.

CONTRACT DOCUMENTS
The Contract Documents form the core framework of every CCDC project. They include the standard form of Contract (agreement, definitions, and general conditions), Division 01 – General Requirements, the technical Specifications (Divisions 02–49), and the Drawings. Together, these documents set out the contractual rights and obligations of the Owner and Contractor while defining the Consultant’s role. Supplementary Conditions may also be included to address project-specific needs.
Division 01 establishes detailed administrative and procedural requirements, while the technical Specifications and Drawings define the quality and quantity of the Work. Read as a unified package, these documents are the primary reference for contract administration, making it essential that a complete, current set is always accessible at the site.
The Consultant is expected to understand both the standard provisions and the project-specific details in the Drawings and Specifications. Their responsibilities include reviewing Shop Drawings, product data, test results, schedules, and other supporting information for compliance with the Contract Documents. Questions of interpretation should be directed to the Consultant first, and for documents they did not prepare, the Consultant may seek clarification from the original authors or other experts as required.
Statslog FIVE takes contract administration to a higher level by making field and site reviews clearer, faster, and far more effective. Every review produced in FIVE allows the contract administrator to easily identify non-compliance with the Contract Documents through detailed descriptions or supporting photos. Each item can be tagged with keywords, enabling powerful sorting and grouping features that highlight patterns and consolidate all related non-compliant issues across multiple site reviews.
This same level of clarity applies to testing results, drawing reviews, and material or product samples. By organizing information in a consistent and searchable format, Statslog FIVE helps teams quickly pinpoint issues, track trends, and maintain a complete and defensible record—all fully aligned with CCDC’s expectations for thorough, well-documented contract administration.

The 100% Model:
You can only invoice one hundred percent
Without an automated system, design professionals usually invest more time to administer the facets of accounting and scheduling, that they tend to miss the major essence of contract management—monitoring and approving progress of the Work.

“Unlike other construction administration systems which follow either emails or dates to record the development of the project, Statslog’s structured approach for handling contracts is based on following approvals. Until a task in the change is approved, FIVE will not progress for payments, and concurrently, FIVE never accepts any value for progress above 100%.”
— Michael Copas, Statslog Founder

ROLES AND RESPONSIBILITIES
In CCDC contracts, the Consultant—typically an architectural or engineering firm—is responsible for providing contract administration services for the Project. To carry out these duties, the Consultant usually appoints a contract administrator who represents the Consultant and design team in all dealings with the Contractor and the Owner, from the initial start-up meeting through the warranty period. Some responsibilities may also be delegated to other qualified individuals, such as subconsultant representatives, to support effective contract administration.
CCDC clearly defines what the Consultant is responsible for and what falls outside their authority. While the Consultant oversees the administration of the contract, they are not responsible for construction means and methods, site safety, Contractor performance failures, acts or omissions of the Contractor, supply chain or delivery issues, or the validation of complex Contractor claims (such as detailed delay claims).
At the same time, Owners and Contractors have important administrative duties of their own. These include processing payments in accordance with contract timelines and legislation, promptly reviewing submissions that require Owner input, and following the established communication pathways.
Before construction begins—ideally at the start-up meeting—it is essential that all parties understand their responsibilities and the expected lines of communication. Clear alignment at the outset supports smoother coordination, better decision-making, and a more efficient contract administration process from start to finish.
Statslog FIVE is designed to align seamlessly with CCDC standards. Division 01, technical specifications, and all relevant drawings are organized and easily accessible within the platform, ensuring that Owners, Consultants, and Contractors can reference the correct information at any time. This centralized access supports clarity, consistency, and efficient decision-making throughout the project.

Notifications

Think of claim notices as your project’s early-warning system. The moment an event—or a chain of events—triggers a potential claim, both parties should sound the alarm and act fast. By addressing it in real time, you can contain the impact and avoid scrambling later when the effects are already felt.
If the claim can’t be settled to everyone’s satisfaction, no worries—the process flows smoothly into dispute resolution, so no time is wasted, and no one is left guessing. Acting quickly keeps the project on track, protects relationships, and makes managing claims far less stressful.

STATSLOG FIVE keeps your notifications organized and on point, following CCDC guidelines for timely and proper communication. All notifications are accessible under the Correspondence tab, where you’ll find a variety of forms. For example, a Claim Notification form captures all the details required by the CCDC claims process and makes it easy to respond to any documents or evidence submitted by the Contractor.
Incoming claims can be stored directly in FIVE, and with its smart sorting and filtering tools, you can quickly generate a focused list of all correspondence related to claims. It’s like having a claims dashboard at your fingertips—keeping things clear, efficient, and surprisingly painless.
