A maintenance request that gets ignored or delayed doesn't just create a frustrated tenant. It creates a documented record of a landlord who didn't respond.

Under Ontario's Residential Tenancies Act, landlords have an obligation to maintain rental properties in a good state of repair. How maintenance requests are handled — and how that handling is documented — matters both operationally and legally.

What a professional maintenance request process looks like:

▸ A clear channel for tenants to submit requests in writing — not just by phone call
▸ An acknowledgement sent to the tenant confirming the request was received
▸ A priority classification — emergency, urgent, and routine — with appropriate response timelines for each
▸ Vendor coordination completed without requiring the tenant to manage the repair themselves
▸ A follow-up confirmation once the work is completed
▸ Every request, action taken, vendor used, and cost recorded in the property file
