We've all opened a new platform and immediately been hit with a wall of pop-ups explaining where everything is.
The intention is good: help the user and prevent support questions.
But too much guidance can actually make the product feel harder to use.
When we look at onboarding and support data, the confusion is often concentrated around a few specific steps. Instead of covering the entire product in instructions, those moments deserve the attention.
The better question isn't:
"How can we explain more?"
It's:
"Where does the user actually need help?"
Good onboarding gives people room to explore, then steps in when they're genuinely stuck.

You don't have a scaling problem. You have a playbook you refuse to retire.

But there's another question that often gets missed:
What are we losing because the platform can't keep up with the business?
Maybe your team has had to turn down customer requirements. Maybe a feature your sales team wants to offer takes months to build. Maybe competitors are moving faster because their systems can support capabilities yours can't.
Those costs rarely appear in the usual technology reports.
A better picture comes from putting direct platform costs alongside things like missed opportunities, delayed launches, lost capabilities and the time your team spends working around the system.
That's when the conversation changes from "Can we justify a migration?" to "What is staying actually costing us?"

30-day rollout can look like a success on paper while creating a six-month adoption problem. The issue is often the rollout itself.
Four things are easy to overlook:
No defined learning period. People are expected to become proficient almost immediately.
One big launch announcement. Knowing a new platform exists isn't the same as understanding what changes in your day-to-day work.
Login numbers treated as adoption. A person can log in, get confused, and leave. The dashboard still counts that as activity.
No adjustment points. If adoption isn't happening, there needs to be a planned opportunity to change the approach rather than simply pushing harder.
The platform needs a chance to succeed before we decide whether it actually works.

You documented the process. So why does the team still improvise?
It may not be a discipline problem.
Often, the documentation is simply describing how work happens today, including all the exceptions, workarounds and inconsistencies that have built up over time.
That creates a document, but not necessarily a process people can follow.
A better starting point is to design the process you actually want the team to use.
That means defining the sequence, assigning clear ownership, agreeing on what "complete" means, and making handoffs obvious.
Good documentation shouldn't just tell people what happened in the past. It should make the right way forward easier to follow.

Hiring more people should help a team breathe a little easier. But sometimes the opposite happens.
The new hire arrives and suddenly there are more meetings, more Slack messages, more check-ins and more people involved in getting the same work across the finish line.
Three things are often behind it: unclear ownership, overlapping responsibilities and handoffs that were never properly defined.
A new person can only absorb work when the workflow tells them where that work belongs. Otherwise, they end up absorbing the uncertainty too.
Before making the next hire, take a look at your busiest workflows. Where does work change hands? Who owns each stage? Where do people have to stop and ask for clarification?

But when those little workarounds happen every day, they can quietly become a significant operating cost—especially when no one is measuring them.
Four signs a workaround may be costing more than the tool itself:
1. The cost is buried in employee time rather than appearing on a budget line.
2. The workaround feels "free" because the alternative requires an investment.
3. One person has become the go-to person who knows how to keep the process moving.
4. Everyone agrees something should change, but the problem keeps getting pushed down the list.
The first step isn't necessarily buying a new tool.
It's measuring what the current workaround is actually costing you.
How many hours does it consume? Who is doing the work? What happens when they're unavailable? And what would it cost to eliminate it?
