A brokerage can become dependent on one person without anyone deciding that it should.
It happens gradually. One administrator knows which report to run, why a particular approval happens out of sequence, and what needs to be corrected when a deal doesn't follow the normal path.
The repeatable business logic should live in the system: required documents, approval steps, commission and fee rules, standard communications, accounting treatment and recurring workflows. Staff should handle the judgment calls and exceptions.
Software that merely records what a knowledgeable person tells it to record preserves the dependency instead of removing it. The knowledgeable person is still the real operating system.
If one absence stops the operation, the problem is not the absence.

A brokerage can record every monthly agent fee correctly and still fail to collect it.
Many offices expect outstanding charges to come off the agent’s next commission. If the agent is not closing deals, that balance can sit for months. If the agent leaves, some of it may never be recovered. Cheques and e-transfers only work if the agent remembers to send them and someone keeps chasing.
Recurring billing solves the first half: creating the charge. RealDesk also handles the collection process. It can send statements automatically, show what is outstanding, and recover balances by credit card or pre-authorized debit on the brokerage’s schedule.
Saving staff time matters. Collecting the money while it is still collectible matters more.

Depending on the brokerage or province, the person who takes over once a deal goes firm might be called a conveyancer, deal administrator, transaction coordinator, deal secretary or office administrator.
Different title, much of the same work: keeping documents, approvals, commissions and payments moving until the deal is closed.
RealDesk helps keep all of that work connected, whatever the role happens to be called.

A lot of real estate software is basically a glorified typewriter or spreadsheet.
It gives staff a place to enter information, prepare documents and send emails, but still makes them complete every step themselves.
That is manual work on a screen. It is not much of an automation strategy.
RealDesk is built around a different division of labour. When the rules are clear, the system should handle the routine work: preparing documents, calculating commissions and fees, sending standard communications and moving information through the transaction.
Staff should spend their time on approvals and exceptions: unusual commission arrangements, missing information, payments that do not match and situations that require judgment.
The goal is not to remove people from brokerage operations. It is to stop making skilled people do work the software should already be doing.

Ask three brokerages what an office admin does and you may get three different answers.
At one, the role may include document review, deposit tracking, commission invoices, lawyer communication and payouts. At another, a bookkeeper or managing broker may own some of that work.
That difference matters when software permissions are based on a fixed idea of the job. The result is usually one of two problems: people have access they do not need, or they cannot do work they are responsible for.
RealDesk lets each brokerage configure roles and permissions around how responsibilities are actually divided in its office. The system does not have to assume that every deal admin, conveyancer or bookkeeper should see or do the same things.
The title can vary. Access should match the responsibility.

Choosing new brokerage software is only part of the transition. Leaving the old system cleanly matters too.
Losing access to an export or finding that nobody owns part of the migration can create months of avoidable reconstruction.

A flat-fee model may simplify one calculation: what an agent owes the brokerage on a deal. It does not simplify the brokerage’s overall financials.
Brokerages still have agent billing, operating expenses and payroll. They have to file GST/HST returns, recognize revenue correctly, produce financial statements and reconcile bank accounts. Deal activity has to flow into all of it correctly.
RealDesk brings deal accounting, agent billing and general accounting together in one system. Instead of pushing transaction data into separate accounting software and reconciling it after the fact, accounting happens automatically as deals are paid out and expenses are entered.
