Adding new offices to an existing floor means working inside a building that's already finished. Sprinkler heads, exit signs, diffusers and light fixtures are all in place before the first stud goes up, and the walls have to fit around them.

This is a current IMS tenant buildout project. Metal stud framing and door openings went in first, then drywall, taping and finishing, with floors protected the whole way.

For a property manager, the value is one team handling the sequence, so the suite gets ready for a tenant without a separate vendor for each step.

October is when a lot of property managers start building next year's budget.

The numbers you already know are the easy part. The repairs you didn't see coming are what throw a budget off.

A walkthrough this quarter can turn some of those unknowns into line items. Ceiling tiles starting to stain, a drain that keeps backing up, lighting that fails in the same corridor every few weeks. None of it is urgent today, but it adds up fast when it all lands as reactive calls in the middle of the year.

During preventative maintenance visits, IMS crews document what they find and report it to your team. You decide what gets addressed and when, with a clearer picture of where the building stands.

If your 2027 budget is coming together, this is a good time to get eyes on the property.

Two work anniversaries to celebrate this September.

Reshell is at five years with IMS. She's taken on more in her role over that time without letting her standard slip. She notices the small things and speaks up about them early, which saves everyone headaches down the line. She's also the reason a lot of long days end with a laugh.

Alex is at two years. He shows up on time, follows through on what he says he'll do, and stays calm when the schedule gets tight. The team notices that steadiness, even on the days nobody says it out loud.

Congratulations, Reshell and Alex, and thank you for the work you put in every day.

It's budget season, which means a lot of property managers are right now setting next year's maintenance line based on what they spent this year, plus a little.

That's how reactive budgets stay reactive. If this year was full of emergency repairs, budgeting for more emergencies just funds the same pattern again.

A preventive maintenance budget starts from a different question: what kept breaking, what did those failures actually cost once you add tenant impact and rush rates, and what would a scheduled plan have prevented? Planned maintenance is easier to forecast and almost always cheaper than the emergency version of the same repair.

We put together a post on how to build a preventive maintenance budget that protects the asset instead of reacting to it. Link: https://choose-ims.com/project/preventive-maintenance-budgeting-for-commercial-properties/

Fall starts today on the calendar. In Florida, that mostly means the rest of the country gets a break and we don't.

The HVAC is still running like it's July. Humidity is still finding its way into anything that isn't sealed. And late September sits near the peak of hurricane season, not the end of it. The season changed on paper. The building's workload didn't.

This is the stretch where it's easy to start looking toward year-end and ease off, right when the property still needs the same attention it got in August. Whatever's been sitting on the maintenance list through the summer is worth closing out now, not filing under "after the season."

There's a hidden cost to switching vendors that never shows up on an invoice: you re-explain your building every single time.

Where the shutoffs are. Which unit always runs warm. The tenant who needs a heads-up before anyone's on the roof. The history of that one recurring problem in the back suite. A new vendor starts from zero, and you spend your time bringing them up to speed instead of getting work done.

A partner who's been in your building for years doesn't need the tour. They already know the quirks, the history, and the people. Over time that turns into faster work, fewer repeat problems, and a lot less explaining on your end.

That's the part of a long-term partnership that's hard to see until you've lived without it.

The same maintenance request keeps coming back. Is it time to stop treating it like a new problem?

A recurring leak, damaged ceiling tile, sticking door, or tenant complaint can be more than another work order. Sometimes the history is what points you toward the real issue.

Our latest blog looks at what repeat repairs can tell property managers and when it may be time to look beyond the immediate fix.

Football's back, so here's the only maintenance analogy we'll make all season.

No team waits until kickoff to start preparing. The work that decides the season happens in the off-season, in practice, in the stuff nobody watches. By the time the game starts, the goal is simple: no surprises.

Commercial buildings run the same way. The properties that get through their busy stretch without a scramble aren't lucky. They got maintained before the leak, before the outage, before the tenant complaint. Preventative maintenance is just running a good off-season.

Enjoy the opener. May your season have fewer breakdowns than your building would without a maintenance plan.

Labor Day is a good moment to recognize the people who do the hands-on work.

Cooling that holds through a Florida summer, systems that run day after day without a second thought, all of it comes down to skilled technicians and field crews doing the job right. Often early, sometimes late, and yes, sometimes on the holidays.

To the tradespeople who keep commercial properties running, on our teams and across the industry: thank you. We're proud to work alongside you.

Happy Labor Day from all of us at INTEGRATED.

Day-to-day maintenance is one thing. A capital project is another. A roof replacement, a parking lot resurface, a full renovation, a major system upgrade. These are the jobs that eat a property manager's calendar, because they usually mean sourcing, scheduling, and coordinating a stack of separate contractors on top of the rest of the job.

Capital project management means handing that off. IMS coordinates the trades, the timeline, and the communication so a large project runs as one managed process instead of ten things you're personally tracking.

The value of a partner on a project this size isn't just the work. It's not having to be the general contractor on top of your actual role.
