Your fastest cleaning crew may not be using the fewest labor hours.

Consider two hypothetical crews completing the same scope to the same standard: three cleaners working two hours use six labor hours; two cleaners working 2.5 hours use five.

1. Count everyone's time.

Add each person's hours on the job. Multiplying crew size by appointment length only works when everyone works the entire visit.

2. Separate time from cost.

Labor cost depends on each worker's cost as well as their hours. Account for setup, job-related travel and return visits without counting them twice.

3. Compare similar work.

Check scope, property condition and quality before changing

For your next five jobs, record: scope, each worker's hours, total labor cost and the quality check.

A shorter appointment can help the schedule.

It does not, by itself, prove that the job used less labor.

Your review automation can damage trust before it improves your rating.

Use one request path for every completed customer.

Ask consistently

Trigger the same message after each completed job, regardless of whether the office expects praise.

Request an honest review, not a five-star review.

Remove the pressure

Do not offer discounts, gifts, or credits for posting.

Do not give customers wording to copy or ask crews to hit review quotas.

Handle feedback separately

Resolve complaints through customer service, but never make private feedback the gate to a public review link.

Google prohibits selectively soliciting positive reviews and incentivized reviews.

The FTC also bars incentives conditioned on positive sentiment.

The operator takeaway:

Build a review system that earns credibility—not just stars.

Your scheduling software is not your business backup.

If you were locked out today, could the office run tomorrow’s routes?

Export what matters

Save customers, service addresses, contact details, active jobs, upcoming schedules, service notes, and your price book.

Protect the copy

Store it encrypted and separately from the platform account.

Give access to two managers.

Never add passwords or card data to the export.

Prove recovery

Each month, open the newest files, locate one customer, and rebuild one day’s schedule.

Record the backup date, owner, and last successful restore test.

Jobber and Housecall Pro support CSV exports.

CISA recommends backing up critical data and testing restoration.

The operator takeaway:

A backup is not proven until someone can use it.
