Are you still paying for things your business no longer uses?
Subscriptions, software, memberships, apps, storage, service plans…$15 here. $39 there. $79 somewhere else.

Individually, they may not seem like much. But over a year, those forgotten expenses can add up to hundreds—or even thousands—of dollars.

🧪 THE LAB NOTE:

Pull up the last 2–3 months of business expenses and look specifically for recurring charges. Ask yourself:

✔️ Do I still use this?
✔️ Is there a less expensive option?
✔️ Am I paying for duplicate services?
✔️ Does this expense still provide value to my business?

Sometimes improving your bottom line isn’t about making more money. It’s about finding the money that’s quietly leaving.

💡 TIP TUESDAY

Your bank feed is a tool — not your bookkeeper.

Connecting your bank account to QuickBooks can save a TON of time, but there’s an important catch: Just because a transaction appears in your bank feed doesn’t mean it’s been recorded correctly.

QuickBooks may suggest a category based on past activity, but those suggestions still need to be reviewed.

A transaction could be:
✔️ An expense
✔️ A transfer between accounts
✔️ A credit card payment
✔️ An owner contribution or draw
✔️ A loan payment
✔️ A payment that should be matched to something already recorded

Choosing “Add” without checking can lead to duplicate income, duplicate expenses, or incorrectly categorized transactions.

🧪 THE LAB NOTE:
Before you click Add, ask: “Is this transaction already somewhere in my books?”

Sometimes the right answer isn't Add — it's Match.

Clean books aren't created by simply accepting transactions. They're created by understanding what those transactions actually represent.

🐾 Think About It Thursday: Are you paying the same vendor twice?

It can happen more easily than you might think.

A vendor emails an invoice. Someone enters it into QuickBooks as a bill. Later, the payment comes through the bank feed — and instead of being matched to the bill payment, it gets added as a brand-new expense.

Now QuickBooks may show the expense twice. 😳

That can mean:
• Expenses look higher than they really are
• Profit looks lower than it really is
• The vendor balance may be incorrect
• Your financial reports aren’t telling the true story

This is one reason I’m a big believer in reviewing before clicking “Add” in the bank feed. QuickBooks can suggest what to do, but that doesn’t mean the suggestion is always right.

🐾 Lab Note: A transaction appearing in the bank feed doesn’t automatically mean it needs to be added. Sometimes it needs to be matched.

Clean books come from more than entering transactions — they come from knowing how those transactions connect.

📚 THE LEDGER LAB — MYTH MONDAY

MYTH: “If my sales are up, my cash should be up too.”

TRUTH: Not necessarily!

Your business can have a great sales month and still feel like there's not enough money in the bank.

Why?

If you invoice customers, some of those sales may still be sitting in Accounts Receivable waiting to be collected. Meanwhile, payroll, vendors, rent and other expenses don't necessarily wait for your customers to pay.

That's one reason a business can look successful on paper but still feel tight on cash.

It also shows why looking at sales alone doesn't give you the complete picture of how your business is doing.

🐾 LAB NOTE: Sales tell you what you've earned. Cash flow tells you what's actually available.

Understanding both helps you make better decisions about spending, planning and growing your business.

💭 THINK ABOUT IT THURSDAY

Do you know which customers actually make you money?

A customer who brings in a lot of revenue isn't necessarily your most profitable customer.

Think about the time, materials, labor, discounts, extra requests, and other costs that go into serving them. Sometimes the customer who looks great from a sales perspective tells a very different story once you look at the full picture.

Good bookkeeping gives you the information you need to start asking better questions about your business.

🐾 Lab Note: More revenue doesn’t always mean more profit. Knowing the difference can change the way you look at your business.

💡 TIP TUESDAY: When Was the Last Time You Cleaned Up Your Vendor List?

Your QuickBooks Online vendor list can get cluttered over time.

The same vendor may accidentally be set up more than once under slightly different names, old vendors may still be hanging around, or important vendor information may be missing.

Why does it matter?

A clean vendor list makes it easier to review purchases, see your history with a vendor, find transactions, and keep your books organized.

Take a few minutes periodically to review your vendor list for duplicates, outdated vendors, and incomplete information.

🔎 WHAT’S THAT WEDNESDAY?

Owner’s Draw

You transfer money from your business account to your personal account. Is that a business expense?

Not necessarily!

An Owner’s Draw is generally money an owner takes out of the business for personal use. It’s recorded in an equity account, rather than as an ordinary business expense.

Why does that matter?

If money taken by the owner is incorrectly recorded as an expense, it can make the business’s expenses look higher and its profit look lower than they actually are.

🐾 Lab Note: Money leaving the business isn’t automatically an expense. How it’s categorized matters.

Clean books aren’t just about recording where the money went — they’re about recording what the transaction actually represents.

💡 TIP TUESDAY

Don’t let “Uncategorized” become a permanent home for transactions in QuickBooks.

It can be tempting to put a transaction there when you’re not quite sure where it belongs and plan to come back to it later. The problem? “Later” can quickly turn into months of transactions waiting to be reviewed.

Those transactions can affect the accuracy of your financial reports and make it harder to understand where your money is actually going.

🐾 Lab Note: If you’re not sure where a transaction belongs, flag it for review — but make sure it gets resolved.

Clean books mean clearer numbers and more confidence in the financial information you use to make business decisions.

💙 MYTH MONDAY

MYTH: “If my books reconcile, everything must be categorized correctly.”

It sounds logical—but reconciliation and categorization are actually checking two different things.

When you reconcile an account, you're confirming that the transactions and balances in your books match your bank or credit card statement. ✅

But here's the catch: a transaction can be there for the correct amount and still be categorized to the wrong account.

For example, a $500 payment could appear on your bank statement and in QuickBooks for exactly $500, allowing the account to reconcile perfectly—but if that payment was categorized incorrectly, your financial reports may not accurately reflect what happened.

That's why reconciliation and reviewing your transactions are both important.

✔️ Reconciliation confirms the numbers match.
✔️ Review helps confirm they're recorded correctly.

🐾 Lab Note: Balanced books and accurate books aren’t always the same thing.

🔎 WHAT'S THAT WEDNESDAY?

Today's bookkeeping term is Undeposited Funds.

Despite the name, there's nothing mysterious about it!

Think of Undeposited Funds as a temporary holding place in QuickBooks Online. It stores customer payments until they're grouped together and deposited into your bank account.

For example:
💳 You receive three customer payments today.
🏦 Tomorrow, you deposit all three together at the bank.
Instead of recording three separate deposits in QuickBooks, Undeposited Funds allows you to combine those payments into one deposit that matches what appears on your bank statement.

That makes bank reconciliations much easier and helps prevent duplicate or missing deposits.

🐾 Lab Note: Undeposited Funds isn't an expense or income account—it's just a temporary holding spot.
