Noticing your expenses creeping up? Here's what to do next.
- Review your profit and loss report
- Make sure all expenses are being categorized correctly
- Identify which expense categories have increased
- Compare expenses to previous months
- Look for software, subscriptions or services you're no longer using
- Review vendor pricing and contracts if needed
- Adjust your prices if your costs have fundamentally increased
The sooner you identify what's driving the increase, the easier it is to take action.

Here are a few QuickBooks Online features that can save you time:
- Set up rules to automatically categorize repetitive expenses. If a vendor contains "Zoom," you can create a rule that tells QBO to categorize it under Software and assign the payee automatically.
- Sort your bank feed by Payee, Description, or Bank Detail to quickly group and review similar transactions.
- Use the QuickBooks mobile app to snap and upload receipts on the go.
- Favorite reports you review regularly, such as Accounts Receivable, Profit & Loss, and Cash Flow reports.
- Schedule management reports to be sent automatically so you always have the latest financial insights.
Here's one of our favorites:
- Delegate your bookkeeping instead of trying to do everything yourself.
You don't need to learn every QuickBooks trick, watch countless tutorials, or spend hours trying to figure it all out.
QuickBooks is just a tool. Understanding accounting principles and maintaining accurate financial records is what matters most.
Focus on running your business and leave the bookkeeping to the professionals.

Your business structure can impact how you pay taxes, how you pay yourself, payroll requirements, liability protection, and potential tax savings.
As your business grows, the structure that worked in the beginning may no longer be the most tax efficient option.
Here are the common business structures:
- Sole Proprietorship: Simple setup with no legal separation between you and the business
- Partnership: Multiple owners sharing profits, responsibilities, and liabilities
- LLC: Liability protection with flexible tax options
- S Corporation: May help reduce self employment taxes
- C Corporation: Separate legal entity with more complex tax rules
Reviewing your entity structure regularly with your accountant or tax professional can help support better tax planning and long term business goals
