AI is surprisingly good at finding the broken part of a process.

Pick one process such as quoting, scheduling, purchasing, inspection, shipping, or onboarding that you think could be improved. Type out your current steps. Make sure to leave out passwords and private data.

Then copy and paste this into your LLM of choice:
“I’m going to describe how we handle [quoting / purchasing / scheduling / inspection / shipping, pick one] at my business. Here’s how it works step by step: [walk through each step]. Now sort your observations into: possible bottlenecks, risks, manual steps that could be simplified, steps with no clear owner, and opportunities for automation.”

You won’t act on everything it flags, but you’ll almost always find one thing that deserves a second look.

The phishing emails that get people aren’t usually the ones that look suspicious. They’re the ones that look like something you were expecting.

AI has made it much easier to create convincing emails that sound like a vendor following up on an invoice, a coworker sharing a file, or your boss asking you to take care of something before the end of the day. A lot of the old warning signs—bad grammar, strange wording, generic greetings—aren’t as obvious anymore.

Today, your team needs to watch for things like:

• Vendors or company leaders being impersonated
• Last-minute payment or banking changes
• Requests for passwords or sensitive information
• Suspicious texts, not just emails
• Voice messages or calls that sound like someone you know
• Messages that use real details about your company or employees

The problem is, some of these are going to look pretty convincing. That’s why training people to simply “spot the fake” isn’t enough anymore.

Your employees need to know what to do when something feels a little off—and feel comfortable speaking up before they click, send money, or share information.

You don’t always need to spend more money to improve cybersecurity.

Sometimes you just need to tighten a few bolts.

We’ve seen businesses invest in new security tools while some of the basics were still wide open. Some common pitfalls are former employees with active accounts, too many people with administrator access, and pushing off updates.

Before you buy another shiny security tool, start here:

• Turn on multi-factor authentication wherever you can
• Remove accounts for former employees and vendors
• Limit administrator access to the people who truly need it
• Turn on automatic updates for devices and critical applications
• Use a password manager instead of recycling passwords
• Test your backups and make sure you can actually restore them

None of this is particularly flashy. That’s the point.

Good cybersecurity isn’t about collecting more tools. It’s about closing the gaps that can turn a bad Tuesday into a very expensive week.
